Individual, Couple and Sex Therapy Sessions are $155 per 53-minute session.
We accept cash (for in-person sessions only) and all major credit cards, including HSA and FSA cards, as forms of payment. Please note that all clients are required to have a credit/debit card on file, even if they prefer to pay with cash. Our payment system is HIPAA-compliant and encrypted to ensure your privacy and security.
Clients are free to cancel previously scheduled sessions provided 24 hours notice has been given. If you miss a session or cancel it with less than 24 hours notice, you will be responsible for the full payment of the agreed-upon fee.
If you need to cancel a session and are unable to do so online, please leave a voicemail message to notify us.
If you arrive late, the session will still need to end on time out of respect for the next client’s appointment. You will be responsible for the payment of the full agreed-upon fee, as our sessions are based on reserved time.
Starting January 1, 2022, the No Surprises Act offers protection against surprise medical bills for individuals with group health plans or individual health insurance coverage. It also prohibits surprise bills for emergency services from an out-of-network provider or facility and without prior authorization. Your therapist will provide you information on these protections at your request, and will provide an estimate of number of sessions and cost at the beginning of treatment, subject to change based on your agreed-upon goals.
If seeking reimbursement, we recommend that you contact your insurance company before starting treatment to determine the exact amount of reimbursement you can expect. Simply let your insurance provider know that you are seeing an “out-of-network therapist” and ask for the “reimbursement rate” for each session. When speaking with your insurance company, you’ll need to provide them with a procedure code, a diagnostic code, the length of the session, and the actual cost of the session.
Common procedure codes are 90791 (Therapy Intake), 90837 (Individual Therapy), 90847 (Family Therapy). The code 90847 is also used for couple counseling.
Length of session at Heartwood Counseling is 53 minutes.
You may also find it helpful to ask your insurance provider these questions:
- What is the reimbursement rate for an out-of-network provider?
- Do I have a deductible, and if so, what is the amount?
- Do I need approval from my primary care provider before seeking mental health services?
- Is couple counseling or family therapy covered by my insurance plan?
- How many mental health sessions per year are covered by my plan?
- Are Video Conferencing Services eligible for reimbursement?
- What forms are required for reimbursement?
